Are you passionate about creating a workplace that feels inspiring, organized, and energizing? We’re looking for a Workplace Experience Coordinator who thrives at the intersection of operations, hospitality, and culture. This role is key to making our Cambridge office a place where people love to work — clean, functional, and buzzing with positive energy.

You'll be the go-to person for all things office-related: managing daily operations, coordinating events, supporting employee travel, and ensuring everything runs smoothly behind the scenes. If you enjoy problem-solving, making people feel supported, and driving workplace efficiency, we’d love to meet you.

What You’ll Do

Facilities & Office Operations

  • Keep our space running like a well-oiled machine — clean, organized, and fully stocked.
  • Oversee vendor relationships for cleaning, maintenance, food, furniture, and more.
  • Manage supplies, equipment, office access (badges & parking), and mail.
  • Ensure our workplace reflects our brand, culture, and commitment to excellence.

Employee Experience & Events

  • Be the friendly face and main point of contact for all office-related needs.
  • Plan and execute fun, engaging events that bring teams together.
  • Help us create a warm, welcoming atmosphere that people look forward to being part of.

Travel & Hospitality

  • Coordinate travel for visiting team members and large group events.
  • Negotiate with hotels and vendors to secure the best rates and perks.
  • Make every visit to Cambridge smooth and memorable.

Health, Safety & Compliance

  • Champion safety by developing and implementing emergency plans.
  • Ensure our workplace meets health and accessibility standards.
  • Conduct regular checks to keep the office safe and up to code.

Sustainability & Innovation

  • Lead green initiatives (recycling, energy-saving ideas, etc.).
  • Help us adopt new tools and tech that make the office smarter and more efficient.

What You Bring

  • Availability to be onsite in Cambridge at least 3 days/week (with flexibility for more as needed).
  • 2+ years of experience in office or facilities management, or a similar role.
  • Bachelor's degree preferred.
  • Excellent organizational, budget, and project management skills.
  • A proactive mindset and a love for problem-solving and people-pleasing.
  • Experience negotiating with vendors and managing office operations.
  • Strong communication skills and comfort using Slack, Gmail, Google Workspace, etc.
  • Authorized to work in the U.S. without sponsorship.

This is a great opportunity for someone who’s energized by variety, detail-oriented, and loves being the heartbeat of the office. You’ll have a big impact on our culture and the day-to-day experience of every employee.

We are proud to be an Equal Employment Opportunity and Affirmative Action employer.

What you need to know about the Boston Tech Scene

Boston is a powerhouse for technology innovation thanks to world-class research universities like MIT and Harvard and a robust pipeline of venture capital investment. Host to the first telephone call and one of the first general-purpose computers ever put into use, Boston is now a hub for biotechnology, robotics and artificial intelligence — though it’s also home to several B2B software giants. So it’s no surprise that the city consistently ranks among the greatest startup ecosystems in the world.

Key Facts About Boston Tech

  • Number of Tech Workers: 269,000; 9.4% of overall workforce (2024 CompTIA survey)
  • Major Tech Employers: Thermo Fisher Scientific, Toast, Klaviyo, HubSpot, DraftKings
  • Key Industries: Artificial intelligence, biotechnology, robotics, software, aerospace
  • Funding Landscape: $15.7 billion in venture capital funding in 2024 (Pitchbook)
  • Notable Investors: Summit Partners, Volition Capital, Bain Capital Ventures, MassVentures, Highland Capital Partners
  • Research Centers and Universities: MIT, Harvard University, Boston College, Tufts University, Boston University, Northeastern University, Smithsonian Astrophysical Observatory, National Bureau of Economic Research, Broad Institute, Lowell Center for Space Science & Technology, National Emerging Infectious Diseases Laboratories
